Making a Booking
If you would like to book a course please contact us to check if the dates you are interested in are available and we can then reserve a place for you, with no obligation.
All parties attending Robinwood are split into ‘activity groups’ and your initial booking is made for the number of activity groups that you need.
Activity groups vary in size between 10 and 14 children. Additional support and assistance on key sessions is offered to groups with larger numbers of children.
When you make a booking, you don’t need to confirm the exact number of children that will be attending as we realise this is difficult to do a long way in advance. We just ask you to confirm the number of activity groups you would like to book for, which in turn fixes the minimum charge (based on the minimum number of children stated) for your party and the maximum number of children in your party as follows:

We can accommodate groups of up to 290 children but, for the best course experience, bookings involving more than 5 activity groups, would typically operate to a large extent as 2 separate parties. Please get in touch with us if you would like to discuss a larger group booking and we will be happy to discuss the details with you.
We are happy for schools to have fewer children in a group, as long as payment is made for the minimum number stated. Robinwood costs per activity group remain very similar however many children there are in the group but, with fewer children in the group, children are likely to get more goes and more individual attention.
Reserving dates with a provisional booking
Course dates can be saved provisionally for your party, with no obligation, for up to three weeks whilst you contact parents and make any other necessary arrangements. At the end of this three week period we need to receive, a signed booking form from you, together with an initial deposit payment in order to confirm your booking. As soon as we have your booking form and initial deposit payment, your booking is secure. We will ask for your numbers attending 10 weeks prior to your visit and then issue your completion invoice which is due for payment 6 weeks before you attend.
Flexibility in final numbers
Our system of booking for a fixed number of activity groups rather than a fixed number of children has proved popular with many schools. As long as you remain within the minimum and maximum limits stated, the actual numbers of children can vary right up until the date of the course and we will only charge for the number of children that actually attend.
Commitment to minimum numbers
When you confirm a booking, you are making a commitment to pay for the minimum number of children stated for the number of activity groups you have booked. A booking is confirmed when a deposit payment has been made and a signed booking form has been returned.
We always advise schools to take care to not book for more than the number of activity groups that they can confidently fill up to the minimum number of children required. Unfortunately, if a school finds that a short time before a course takes place, they haven’t filled the minimum child places for their booking, we will still need to charge (based on our booking conditions) for the minimum number stated, as it is too late to get another school booked in and we already committed to the vast majority of costs involved, however many children attend.
In order to be confident in the numbers attending it’s best to ask parents/guardians at the time of making a booking and to get a commitment from them for their child/children attending. However many groups you are booking for, there is a good range between the maximum and minimum number of children that could attend, to make it easier for you to be confident in achieving minimum numbers, whilst still having good scope to bring significantly more than the minimum stated.

Adult places free of charge
We recommend that there is always at least one accompanying adult attending for each activity group booked, but having more adults can sometimes be helpful, particularly if there are children with additional needs in your party. We are happy to accommodate some additional adults attending free charge, up to a maximum of 2 adults per activity group booked. We provide one bedroom for each activity group booked, so if more than 1 adult per group is attending, some adults will generally need to share rooms.
Additional bedrooms for adults available to book
At each centre, we have a limited number of additional adult bedrooms that schools can book. These rooms (which can also accommodate up to 2 adults) are generally offered on a first-come, first-served basis for schools bringing additional adults. However, we will prioritise schools with additional needs.
Activities at Robinwood
We typically have 15 high-quality activity sessions packed into three days. Some sessions differ from centre to centre, but all centres run a similar programme, focussed on key stage two. There are some variations according to the time of year.
